About the job:
The Chief Operating Office (COO) at the NCIA is responsible for ensuring that the organization meets customer needs by effectively managing business planning and resource allocation. This role involves guiding project and service development, monitoring performance, and ensuring compliance with organizational processes. The COO also fosters a collaborative environment to enhance business operations. These new posts are within The Business Support Management (BSM) Section which is part of the COO's Business Planning and Execution Management (BPEM) Branch. BPEM focuses on planning, tracking, and reporting on the organization's performance. The BSM Section utilises ServiceNow to provide guidance and support throughout the lifecycle of projects and services, handles data and baseline administration, and manages resource and time accounting processes. BSM also oversees small-scale projects and sales, ensuring they run smoothly.
The BSM team are seeking to bring onboard ServiceNow professionals to reinforce the team’s ability to evolve and strengthen the significant portfolio management performance of the NCIA within the NATO Community where we are hiring the following posts in The Hague, Netherlands:
· ServiceNow Analyst: the primary responsibilities include supporting project and service managers by coordinating project activities, ensuring effective communication, and monitoring progress. The role involves managing small projects, maintaining project methodologies, and addressing P3SM-related requests. Key duties also include resource management, change implementation, and stakeholder relationship management. Essential qualifications are higher vocational training with 5 years of experience, proficiency in Microsoft Office, and advanced project management tools. Desirable qualifications include formal certification in project management methodologies like PRINCE2 or PMI, knowledge of ITIL, and familiarity with ERP systems. · ServiceNow Administrator: the role involves supporting the daily operations of various Business Areas with Project, Programme, and Portfolio Management (P3SM) responsibilities using tools like ServiceNow Strategic Portfolio Management, Business Intelligence, and ERP systems. Key responsibilities include assisting with project planning, resourcing, data entries, and quality assurance, providing support for cross-project coordination, and ensuring compliance with NATO and Agency directives. The role also involves managing ServiceNow data and ensuring proper operation of the Agency Time Sheet Portal. Required qualifications include higher vocational training with 2 years of relevant experience or a secondary educational qualification with 4 years of experience, along with proficiency in project management tools and advanced computer-based office automation tools. Familiarity with ITIL, project management methodologies like PRINCE2 or PMI, and experience in an international environment is desirable. About you:
You possess the ability to lead, inspire, and effectively engage a diverse and multidisciplinary team with tact, sound judgment, and adaptability. Additionally, your strong awareness, motivational skills, and attentive listening contribute to your capabilities which include:
· Sound knowledge and experience in the use of Microsoft office automation package
· Thorough knowledge of computer-based tools for project planning/control and resource management (like MS Project or Service Now);
· Proven experience developing and setting in place new processes and procedures;
· Skilled in the use of advanced computer-based tools in the areas of office automation (MS Office Suite especially MS Excel, MS SharePoint);
· Familiar with principles of accounting and finance;
· Excellent command of spoken and written English, with a proven ability to communicate effectively orally and in writing;
· Experience in roles requiring to take initiative and a flexible approach allowing the incumbent to respond reliably and competently to changing requirements in a demanding environment;
· Experience in roles requiring excellent inter-personal skills and the ability to be responsive and sensitive to both external and internal customers and staff
Desirable:
· Formal certification in a recognised methodology for project management techniques e.g. PRINCE2 or PMI;
· Knowledge of ITIL;
· Experience in maintaining web pages;
· Experience in JIRA software;
· Familiarity with ServiceNow and/or experience of Enterprise System Implementation and/or Business Analysis, or IT Requirement Analysis
