About the job:
Based in The Hague, you will join the Agency as we embark on a journey to transform our IT services to support NATO’s Digital Endeavour. You will join The Acquisition Office which provides the full range of acquisition expertise and activities which support the planning, implementation and maintenance of the required capability to support the Agency’s strategic goals and missions. These functions include Contracting, Logistics, and Cost Estimating and Analysis, among others.
The Acquisition Policy Office assists the Deputy Chief of Acquisition for Procurement & Policy in developing, reviewing and implementing ACQ procurement processes and procedures aiming to support ACQ operational activities. The office also provides guidance and participates in NCI Agency and NATO-wide procurement policy initiatives.
We are looking for a driven and enthusiastic Senior Assistant (Procurement Policy) who will take on the following roles and responsibilities:

Providing first-line client service support to industry, national authorities, and internal staff related to all aspects of the Basic Ordering Agreement and Not-For-Profit Framework programmes;

Processing BOA and NFPF applications, including but not limited to: responding to industry correspondence, collecting signatures, and maintaining accurate records in databases and document libraries using SharePoint and enterprise resource planning (ERP) software;

Drafting and maintaining promotional materials for the BOA and NFPF programmes, including but not limited to brochures, webpages, and slide decks;

Organizing virtual and in-person meetings with industry, when necessary;

Escalating matters of concern to senior colleagues or the Head of Acquisition Policy for remediation, when necessary.

Preparing and processing procurement policy documents, including but not limited to: templates, newsletters, memoranda, and other documentation, as requested by the Head of Acquisition Policy;

Team calendar and event management for the Acquisition Policy Office;

Supporting Information and Knowledge Management (IKM) efforts within the Acquisition Policy Office, including but not limited to creating and maintaining SharePoint and external website pages;

Providing first-line administrative support to the Contract Award Board (CAB), when the CAB Administrator is absent or during periods of high-volume;

About you:
The valuable knowledge and experience that you bring to this role are:

Higher vocational training in a relevant discipline with 2 years’ post-related experience. Or a secondary educational qualification with 4 years’ post-related experience;

Experience in providing client-facing support in a customer service environment or similar;
-
Experience and ability to conduct research and analytical work;
-
Experience in the preparation and composition of correspondence, documents, statistical and financial information and presentations, using word processing, spreadsheets, database and graphics tools as appropriate;

Experience in communicating effectively orally and in writing with good briefing skills;
-
Experience in website content management or SharePoint administration will be an advantage;

Fluency in English, both written and spoken
